How does this work?
Attendees
Attendees can sign up for events or purchase a ticket. Free events require an RSVP for proper planning. Lack of attendee response frequently leads to over or under purchasing of food and supplies and insufficient volunteer staffing. Typically, the only required information is an email address, which we use to provide important updates, including potential rain dates, recommended items to bring, parking details, and other relevant event information. We also encourage attendees to share events on social media or by forwarding links and announcements to others in the community, helping us reach a wider audience and create the best possible experience. Attendees can instantly share events on Facebook, Twitter, or Instagram directly from the website simply by clicking the social media link when viewing a specific event.
Organizers
Organizers will benefit from the opportunity to interactively engage with this platform. Each event requires a designated point of contact to handle inquiries, a team member responsible for submitting marketing materials, someone willing to install and use the "check-in" app to streamline admission at the event and a spokesperson available for video announcements if you wish to use this feature.
Key Responsibilities

Point of Contact: While we strive to make the platform as seamless as possible for attendees, some questions may arise that require direct engagement. Having a designated contact ensures timely and appropriate responses. To protect privacy, we will avoid publishing personal email addresses and phone numbers in event descriptions.

Marketing & Branding: We want each event to reflect the unique character of the hosting organization, rather than simply conforming to the platform’s standardized format. We aim to provide as much creative freedom as possible. High-quality photos or videos from past events can help set expectations and generate excitement.

Attendee Check-in & Data Collection: One of the platform’s most valuable features is its ability to improve event check-in efficiency. Organizers should utilize the "check-in" app to collect attendee data, streamline ticket sales at the door, and ensure accurate headcounts for the best possible planning and emergency preparedness.

Spokesperson for Video Announcements: Video has become a powerful tool for engagement and outreach. We ask that each event have a designated spokesperson willing to participate in video promotions to help increase visibility and attract more attendees. You may send in a video or participate in an online or personal interview.
By fulfilling these roles, organizers can ensure a smoother, more engaging, and well-supported event experience for both attendees and the broader community.
Tickets - This is a key feature to this platform and is very helpful when limits need to be set.

RSVP - This is a free option for organizers but does have some added value. Each attendee gets a reminder prior to the event and organizers can communicate with attendees if something changes, such as inclement weather.

Paid tickets are available on the event page via a credit card. (Fees will be deducted from funds raised)

If Will-Call tickets will be offered during check-in with cash or check we can capture that during checkout and should be noted in the description. The guest list and ticket printout will note if paid or unpaid.

Note - With the use of the check-in app additional tickets can be sold onsite and will-call attendees can be marked paid.
Event Fees

Free Tickets or RSVP Events only have a small fee for emails sent so with some donations this will be free.

For ticketed events purchased on our website, up to a 7% fee (covering processing and credit card costs) will be deducted from the proceeds. Additionally, there’s an option during event submission to prompt attendees to cover the processing fee. (More detailed breakdown of CC fees)
